Update in view of personal data processing
1. Introduction
The company “EDU TAILORS” (hereinafter “the Company”) considers issues regarding personal data protection and privacy of utmost importance and addresses them responsibly. In this context, we publish the present statement in order to inform prospective employees regarding the processing of their personal data, under article 13 of the EU General Data Protection Regulation, which you shall read carefully.
2. Personal data collection and processing
Personal Data collected by candidates include:
• Name and Surname
• Father’s name, Mother’s name
• Sex
• Age
• Contact details (phone number, email, personal address)
• Marital Status
• Number of Children
• Personal identity information (ID or passport number)
• Nationality
• Military service (for male candidates)
• Relatives’ employment in the Company
• Recommendations
• Previous relationship with the Company
• Education information
• Work experience in other companies
• Interests
• Curriculum vitae
• Other information provided by candidates through job finder websites, email, in person during interviews or/and through any other means
• Personal data of the candidates collected by other sources which include: verification of information provided during employment, by contacting third parties (for example, previous employers, educational institutions or/and universities and qualification providers)
• Information from social networking websites where candidate employees hold and account and relate to purposes of job finding and employment
• Information from employment offices and candidate evaluation companies.
Creation of personal data during employment proceedings.
In the context of employment proceedings, the Company creates personal data related to the candidates including inter alia: Interview, Completing tests (written and electronic) and results of evaluation.
5. Processing purposes
The Company collects and processes the aforementioned data of candidate employees, for the following purposes:
• To examine candidate applications regarding a particular job position.
• To contact with candidates during employment procedure.
• To enrich the data it received from candidates with third parties information.
• To achieve in finding suitable candidates for the completion of vacancies.
• To hold a record regarding employment.
• To ensure the compliance of the Company with the prerequisites set by the legal framework it falls under.
The Company may use third parties/partners/qualified staff for the selection of candidates to be evaluated, according to particular criteria it sets; all the same, the procedure of finding the proper candidates is not automated and any decision concerning the selection of personnel for the completion of a vacancy is made by staff of the Company.
6. Legal grounds
The legal ground for the collection and processing of candidates’ data is the legal interest of the Company, and more specifically, the employment of personnel suitable for each job position.
During personal data collection by the candidates themselves, the Company shall inform candidates on whether the provision of personal data in question is obligatory or not. In case required information is not provided, like for example, not fetching a required degree, the Company will not be able to evaluate candidates for the particular position they have filled their application for.
When candidate employees send their curricula or personal information to the Company on their own initiative, and there is no proclamation of a particular job position by the Company, the candidates provide their consent for the process of their data, according to the provisions of the current legal framework and the present statement.
7. Personal data recipients - Transmissions
Candidate employees’ personal data are transmitted and processed by the Company and its staff.
The Company shall transmit data of candidate employees under the framework of cooperation with parties which provide services, for which the use or/and creation of data regarding the candidate employees are necessary, according to the purposes described herein and the current legal context. Under these specific circumstances, selected third parties may have access to data of candidate employees. Before any information is disclosed to a third party, the Company shall guarantee that each recipient is bound by strict security standards and confidentiality.
A third party to which you personal data or/and your Curriculum Vitae might be transmitted is the company “E. MANDOULIDES SCHOOLS S.A.”.
In case of merge or/and acquisition, the Company might divulge information regarding candidate employees to involved third parties.
The Company does not sell or commerce the data of candidate employees to third parties. It may be subject to disclose particular data of candidates to third parties, like state authorities, according to the existing legislation. Moreover, it has the right to disclose information of candidate employees, if this is necessary for the protection of its legal rights, according to the existing legislation.
8. Security
The Company takes all necessary security measures, to ensure the best possible keeping of personal data, to avoid loss, use or unauthorized access to personal data by mistake, and limits access to personal data of candidates to people who really need it to perform their tasks.
People who process personal data on behalf of the Company, act according to the authorization they are given and their actions are bound by the principle of confidentiality. The Company has instituted procedures to confront potential security breaches of personal data in order to comply with all legal responsibilities it assumes in case of personal data infringements.
Despite the fact that the Company takes all necessary security measures for the preservation of confidentiality, integrity, and availability of personal data, the transmission of information through the internet is never utterly safe. Consequently, it cannot guarantee their security, when transmitted via any electronic means; thereat, any transmission of this type is made with the sender’s responsibility.
9. Storage
Personal data of candidate employees are stored in servers in Greece and they are not transmitted to third countries.
States of the European Economic Area are considered to provide the same level of personal data security, compared to Greece. If the Company transmits personal data outside the European Economic Area in the future, it undertakes the responsibility to inform the data subjects and to ensure that the appropriate or proper guarantees for the protection of the transmitted personal data.
10. Retention time
As soon as the evaluation process is completed and the necessary number of candidates to fill vacancies is employed by the Company, the data of candidates who are not to be employed forthright is retained in the record for a reasonable period of time, determined by the Company’s needs for the completion of vacancies. Participants in the evaluation process shall be notified for the period of data retention.
In particular, submitted data regarding Curricula, as well as tests and evaluations are retained by the Company for one (1) year and then they are deleted by the database. It is clarified that deletion takes place in the end of the calendar year when the time period of one (1) year is filled.
Withdrawal of consent for the above is possible at any moment, by sending the relevant request to the following email address: eleni@edutailors.com
The request for withdrawal does not influence the legality of processing that has taken place up to this moment.
11. Subjects’ rights
According to the General Data Protection Regulation subjects may exercise the following rights:
• To be informed regarding the processing of their data.
• To have access to their personal data.
• To demand corrections to inaccurate data regarding them held by the Company.
• To demand the deletion of personal data regarding them under certain circumstances.
• To receive personal data they have provided to the Company regarding them, in a structured, commonly used and machine readable format, and to require the transmission of these data to third parties under certain circumstances.
• To oppose, in any moment, to the processing of their personal data.
• To ask for the restraint of their personal data processing under particular circumstances.
• To fill in a complaint or an indictment to the supervising authority, that is the Hellenic Data Protection Authority (www.dpa.gr).
12. Changes in the present privacy statement
The Company reserves the right to modify and adjust the present statement, when it deems it necessary, for legal, technical or business developments and the respective changes enter into force upon notification, or by their posting online, or by any other means the Company considers appropriate, and to guarantee there is consent by the data subjects when it is necessary under the current legal regime.
